ARCHIVED: At IU, how can I collaborate on documents and share data with others?
UITS provides several secure services that allow Indiana University students, faculty, and staff work on documents and share files with IU collaborators and others who are not affiliated with IU.
To collaborate on documents or share files with IU collaborators and others who are not affiliated with IU, use:
- Box: The IU Box
service provides simple, secure, unlimited online storage. You can
use your Box account to ARCHIVED: securely share files
with anyone who has an email address. For more, see ARCHIVED: About Box at IU (Retired)

Important:Box at Indiana University is not appropriate for storing or sharing most types of institutional data classified as Critical. However, with ARCHIVED: certain additional security measures you may be able to use IU Box with some data that contain protected health information (PHI) regulated by the Health Insurance Portability and Accountability Act of 1996 (HIPAA). Although IU's Box service is provided by a contract with a third-party vendor, using it does not impact the intellectual property rights of the data you store there. Unlike other third-party services (e.g., see the Google Drive terms of service), you are not required to grant the vendor any rights to use the information in your documents.
- Slashtmp: The IU Slashtmp service provides graduate students, faculty, and staff a way to share data with others via a web interface. It is particularly useful for sharing files that are too large to send via email. For more, see ARCHIVED: About Slashtmp at IU (Retired)
To share files with collaborators at IU only, use any of the services listed above. Alternatively, depending on the nature of your work, you may be able to use:
- RFS: The Research File System (RFS)
offers IU researchers ARCHIVED: project spaces for
collaborative projects (e.g., research teams). All users in a project
space group have access to that area, and can therefore exchange files
and collaborate. Group account owners can tailor access rights for
individual users within their project spaces. Projects involving
collaborative research conducted for a year or longer qualify for RFS
project space. You can create an RFS account for yourself or your group. To request a
project space, email Research
Storage.
Note:File sharing with collaborators outside of IU is technically possible using RFS, but a faculty or staff sponsor would have to request affiliate accounts for the non-IU collaborators. See Sponsor a computing account for an IU affiliate.
